ASM Record Search Fees

  • A Basic Record Search will cost $35 per square mile of searched area (minimum of $35 for less than 1 square mile) up to 100 square miles. For search areas 101-499 square miles there will be a 25% discount. For searches 500 or more its a 50% discount.  This will include, at your request:
    • EITHER a shape file of the search area (includes all sites and surveys intersecting that area)
    • OR electronic maps.  Up to 8 maps (81/2x11 size in PDF format) will be provided for the basic record search.  If the search requires more than 8 maps, additional maps are $15 each.  Maps will be no smaller than 1:24,000.
  • If maps AND shape files are requested, maps will be generated at an additional $15 each.
  • Shape files are ONLY distributed with a record search conducted through this office.  This is to ensure sites and surveys are correct and that searches are complete.
  • Attribute tables in the form of the AZSITE Entry Module are included at no extra charge if requested, or $150 if requested separately - AZSITE Users only.
  • Expedited Record Searches are an additional $250.
  • Special attribute or spatial queries and data returns may be arranged.
    • An additional $200 setup fee may apply.
    • Contact the AZSITE Database Administrator for special search request options and complete fees.
    • Additional time may be required for special searches.
    • Requestors must have AZSITE access to receive data.

 

Please note the following policies and procedures:

    • Record search requests require 7-10 business days (excludes weekends and holidays) to complete. Large data sets may take longer so contact the AZSITE Administrator.
    • If an expedited search is requested, the request will be placed above regular searches and below any other expedited searches currently in the queue.  No specific time frame is implied for expedited search requests.
    • Map scale is determined by AZSITE Personnel for data clarity, but no map shall be printed smaller than a 1:24k scale.
    • If you use AZSITE produced maps in your reports, please credit the AZSITE Consortium for the map production.
    • AZSITE produced maps are not intended for publication; they are intended to provide information on previous research.
    • AZSITE will not produce special map configurations - we have neither the time nor software to do so.
    • AZSITE data are compared to ASM paper maps for updates and corrections.  “Data Dumps,” AZSITE data that have not been verified against ASM paper records, are no longer done except for land managers. Cost to Land Managers who do not pay the AZSITE Annual Fee is $350 per data dump, shapes only and data is not verified and should be presumed inaccurate and incomplete. Attribute data in the form of MSAccess tales can be supplied for the additional cost of:  $150.  Those agencies that do pay the AZSITE Annual access fee receive one free data dump per year, including attribute data; cost per additional dumps is $100.
    • If you do not have access to AZSITE, you will receive a map which includes only ASM records and photocopies of ASM site records, if requested. You will then need to contact other land managing agencies for similar records checks of their records to complete the record search process. These additional record searches are subject to individual land manager data access and fee policies.

o       AZSITE data are distributed only to agencies and companies with a current (and paid) AZSITE User Agreement.  This is one of the multi-agency agreements that AZSITE was founded on.

o       Maps, site cards or any other documentation that displays the location of cultural resources will be sent only via AZSITE’s secured FTP site.  Email and attachments are not a secure method of sending site location data. 

1.      The FTP site is available to all data requestors and is not limited to AZSITE users.

2.      All maps are converted to PDF file, zipped, password protected, and placed in the FTP site for downloading by the requestor. A copy of your map, if requested, will be included with any Xeroxing you requested.

3.      Due to poor reproduction quality, maps will no longer be FAXed.

o       Photocopies of any ASM Records are available upon request at azsite@email.arizona.edu – current photocopying costs will apply.

o       ASM does not hold paper records of any land managing agency other than ASM – meaning we can’t send you Xerox copies of non-ASM sites or projects.
